VYSATalk to VYSA

Billing and collections built around how you charge.

Getting paid should not depend on someone remembering to raise the invoice. VYSA builds billing and receivables systems that follow your pricing, contracts and customers, then post to the books.

Signs the current setup is holding you back.

  • “We found three months of extras that were delivered and never billed.”
  • “Only one person knows how to price our biggest customer’s invoice.”
  • “Our overdue list is a spreadsheet that gets attention when cash is tight.”
  • “Customers email us to ask for a copy of an invoice we already sent.”

What it is

Billing turns work delivered into money owed, and collections turns money owed into cash. When pricing lives in contracts, usage lives in operations and invoices are typed by hand, revenue leaks at every step.

VYSA designs billing software around your commercial model: recurring plans, usage, milestones, time and materials or a mix of all four. Invoices are generated from what was delivered, and overdue balances follow a process instead of a mood.

The general ledger stays in your accounting system, and card and bank payments stay with payment providers. We connect both, so billing logic is yours and the regulated rails stay with specialists.

Problems it solves

  • Work delivered but never invoiced

Jobs, hours and extras are completed in one system and billed from memory in another.

  • Pricing rules in people's heads

Customer-specific rates, discounts and minimums are applied by whoever knows the account.

  • Invoices disputed for small errors

A wrong PO number or missing backup delays payment by weeks while the invoice is reissued.

  • Collections by spreadsheet

Overdue accounts are chased when someone has time, with no record of what was promised.

  • Cash position known too late

Finance learns what will be collected this month only after the month has ended.

Example workflows

Completed work to invoice

  1. Job, delivery or usage period closes in operations
  2. Contract pricing and taxes are applied automatically
  3. Invoice is generated with the backup the customer requires
  4. Finance reviews exceptions only
  5. Invoice posts to the accounting ledger
  6. Customer receives it with a payment link

Overdue invoice to cash

  1. Reminder goes out before the due date
  2. Overdue invoices enter a collections queue by risk
  3. Collector logs the call and the promised date
  4. Broken promises escalate to the account owner
  5. Payment is matched and the invoice closes

Recurring billing run

  1. System gathers subscriptions and usage for the period
  2. Proration, credits and price changes are applied
  3. Finance approves the run in one review
  4. Invoices are issued and cards on file are charged

What VYSA might build

  • Billing engine

Recurring, usage, milestone and time-based charges calculated from your own rules.

  • Contract pricing

Customer rates, tiers, discounts and minimums held once and applied every time.

  • Invoice generation

Invoices in the format each customer requires, with supporting detail attached.

  • Credit notes & adjustments

Corrections with approval and a reason, so every change can be traced.

  • Collections queue

Overdue accounts prioritized by value and risk, with notes and promised dates.

  • Payment matching

Incoming payments matched to open invoices, with exceptions sent for review.

  • Customer billing portal

Customers view invoices, download statements and pay without emailing accounts.

  • Receivables reporting

Aging, days sales outstanding and expected cash by week, customer and collector.

What we integrate rather than rebuild

Commodity problems already have excellent answers. We connect them to your system instead of rebuilding them.

  • Accounting ledger

Invoices, credits and receipts post to your accounting system, which remains the book of record.

  • Payment processing

Cards, bank debits and transfers run through an established payment provider.

  • Tax calculation

Sales tax and VAT are calculated by a specialist tax service and stored on the invoice.

  • E-invoicing networks

Invoices reach customer procurement portals and e-invoicing networks in the format they accept.

  • Email delivery

Invoices and reminders send through a transactional email service with delivery tracking.

What changes day to day once it’s live.

  • Everything delivered gets billed

Invoices come from operational records, so extras and usage no longer rely on memory.

  • Fewer disputed invoices

Pricing, references and backup are right the first time, so customers have less reason to hold payment.

  • Collections with a process

Every overdue account has an owner, a history and a next action.

  • Cash you can forecast

Finance sees what is due, what is promised and what is at risk before the month closes.

What you own at the end.

The billing system is built as an asset of your business. How code, data and infrastructure are handed over is defined in the project agreement before work starts, so it is clear what you hold when the project ends.

Your pricing rules, invoice history and customer balances stay in a structure you control and can export. VYSA Care can host, maintain and improve the system, but it is optional. You should stay because VYSA is useful, not because your billing data is hard to move.

A typical rollout

  1. First: pricing & invoice generationContract pricing and invoices generated from delivered work come first, because that is where revenue leaks.
  2. Then: collections & payment matchingReminders, the collections queue and matching follow once invoices are consistent and trusted.
  3. Later: customer portal & forecastingSelf-service statements, online payment and expected-cash views build on the same receivables data.

Questions

Does this replace our accounting software?

No. Your accounting system remains the ledger. We build the billing and receivables layer in front of it and post invoices, credits and receipts so the books stay complete.

Do you process payments?

Payments run through an established payment provider that we integrate. Card and bank details are handled by that provider, not stored in the system we build.

Can it handle our unusual pricing?

That is usually the reason to build. Customer-specific rates, tiers, minimums, bundles and mixed billing models are captured as rules during discovery and tested against real invoices.

How long does it take?

It depends on the number of pricing models and integrations. After discovery we set out a phased plan, often starting with one billing model before adding collections and the portal.
