Budgets and forecasts built on the numbers you run on.

A plan is only useful if it stays connected to what is happening. VYSA builds planning software that links your budget to live operational and financial data, so the forecast moves when the business does.

Signs the current setup is holding you back.

  • “Our budget is a workbook with forty tabs and one person who understands it.”
  • “By the time we finish the forecast, the quarter is half over.”
  • “The board asked for a downside case and it took us two weeks.”
  • “Department heads see their budget in January and never again.”

What it is

Budgeting sets the plan for the year. Forecasting keeps asking whether the plan still holds. In most growing businesses both live in a chain of linked spreadsheets that one person understands and nobody else dares to edit.

VYSA builds planning software around the drivers that move your numbers: headcount, volumes, prices, utilization, sites and projects. Department owners enter what they know, the model does the arithmetic and finance sees one version.

Actuals come from your accounting system and operational tools through integration. The ledger stays where it is. The planning layer on top of it becomes yours.

Problems it solves

  • Budget season takes months

Templates go out by email, come back in different shapes and are stitched together by hand.

  • One fragile master spreadsheet

The model has grown for years, and a single broken link can change the total without anyone noticing.

  • Forecasts out of date on arrival

By the time actuals are loaded and the forecast is rebuilt, the month it describes is over.

  • No way to test a scenario

Asking what happens if a site opens late or prices rise means a week of rework.

  • Managers don't own their numbers

Department heads see their budget once a year and their variance when it is too late to act.

Example workflows

Annual budget cycle

  1. Finance opens the cycle with targets and assumptions
  2. Department owners enter drivers for their area
  3. The model calculates revenue, cost and headcount
  4. Submissions move through review and approval
  5. The approved budget locks as the baseline

Monthly reforecast

  1. Actuals load from the ledger after close
  2. Variances against budget are highlighted by owner
  3. Owners update drivers for the remaining months
  4. Finance reviews the changes in one view
  5. The new forecast is published to leadership

Scenario for a decision

  1. Finance copies the current forecast as a scenario
  2. Key drivers are changed for the decision in question
  3. Impact on profit and cash is compared side by side
  4. The chosen scenario becomes the working forecast

What VYSA might build

  • Driver-based budgets

Plans built from volumes, prices, headcount and rates instead of typed-in totals.

  • Rolling forecasts

A forecast that extends each month and blends actuals with the latest outlook.

  • Scenario planning

Side-by-side versions that show what a decision does to profit and cash.

  • Headcount planning

Roles, start dates and salary costs planned by team and tied to hiring.

  • Variance analysis

Budget against actual by owner, with comments captured where the gap is.

  • Cash-flow forecasting

Expected receipts and payments by week, built from receivables, payables and plans.

  • Submission workflow

Department inputs with deadlines, review steps and a visible approval trail.

  • Planning reports

Board-ready views of plan, forecast and actuals without rebuilding a deck each month.

What we integrate rather than rebuild

Commodity problems already have excellent answers. We connect them to your system instead of rebuilding them.

  • Accounting ledger

Actuals and the chart of accounts come from your accounting system, which stays the book of record.

  • Payroll & HR data

Current headcount and salary costs arrive from your payroll and HR systems.

  • Operational systems

Orders, pipeline, production and utilization feed the drivers behind the plan.

  • Banking feeds

Balances arrive through an established bank-data service for the cash forecast.

  • Spreadsheet export

Any view exports cleanly for the analysis people still want to do in a spreadsheet.

What changes day to day once it’s live.

  • A shorter budget season

Owners enter drivers in one place and consolidation happens as they type.

  • A forecast that stays current

Actuals load after close and the outlook is updated in days rather than weeks.

  • Decisions tested before they are made

Leadership compares scenarios side by side instead of waiting for a rebuilt model.

  • Managers who own their numbers

Each owner sees plan, actual and variance for their area throughout the year.

What you own at the end.

The planning system is built as an asset of your business. How code, data and infrastructure are handed over is defined in the project agreement before work starts, so it is clear what you hold when the project ends.

Your models, assumptions and history stay in a structure you control and can export. VYSA Care can host, maintain and improve the system, but it is optional. You should stay because VYSA is useful, not because your plan is locked inside a tool.

A typical rollout

  1. First: actuals & varianceActuals from the ledger against the current budget come first, so every owner sees one trusted view.
  2. Then: driver-based budget & forecastThe plan moves out of spreadsheets into driver-based models with a submission and approval flow.
  3. Later: scenarios & cashScenario comparison and cash-flow forecasting build on a model the business already relies on.

Questions

Does this replace our accounting system?

No. Your accounting system keeps the ledger and produces the actuals. The planning software reads from it and holds the budgets, forecasts and scenarios built on top.

Can our team still use spreadsheets?

Yes. Any view exports cleanly, and inputs can be loaded from a template where that suits a team. The difference is that the model and the single version live in the system.

Who maintains the model when the business changes?

Your finance team. Drivers, cost centers and structures are managed through admin screens, and anything deeper can be changed by your developers, VYSA or another partner.

How long does it take?

It depends on the number of entities, drivers and data sources. After discovery we set out a phased plan, usually starting with actuals and variance before moving the budget itself.
